The Challenge

SpaceFrame — one of Western Australia's leading construction businesses — needed to bring document management, organisation compliance, contact records and subcontractor coordination together in a single, secure system. The existing setup was a patchwork of files, spreadsheets and ageing internal tools that couldn't keep up with the volume, the audit requirements, or the number of people who needed access from outside the office.

The brief was clear: replace the patchwork with one modern platform that the SpaceFrame team and their subcontractors could rely on every day, and that could grow with the business.

The Solution

Nano Solutions designed and built Phoenix — a custom enterprise resource management platform — alongside Phoenix Portal, a dedicated subcontractor experience that reads directly from SpaceFrame's core business database.

Phoenix — internal ERM

The internal platform brings the day-to-day operations of SpaceFrame into one place:

Single sign-on with Google, Microsoft and OneLogin, plus two-factor authentication
Organisation management — contact records, document tracking, expiry monitoring and compliance reporting
User administration with role-based permissions across the whole business
Document handling — uploads, versioning, retention and audit logs
Real-time notifications for document expiry, compliance gaps and workflow events
Audit logging of every change for compliance and traceability
Admin dashboard for centralised oversight by the operations team

Phoenix Portal — for subcontractors

A separate, purpose-built portal gives SpaceFrame's subcontractors a clean, secure window into the project information that's relevant to them. The portal connects directly to SpaceFrame's existing business systems, surfaces project files and documents, and includes built-in messaging — all behind two-factor authentication, so sensitive project data stays protected.

Technology

Modern Laravel and Vue stack with a Quasar-based frontend and a centralised admin console. SSO and 2FA built in from day one. Background processing via Laravel Horizon, document management through Spatie's media library, full activity logging, and error monitoring with Bugsnag. Phoenix Portal connects directly to SpaceFrame's core operational database to ensure subcontractors always see current project information.
