Nano Solutions Pty Ltd (ABN 78 169 324 609) ("we", "our", "us") is a custom software development company based in Fremantle, Western Australia. We are committed to protecting your privacy in accordance with the Australian Privacy Principles (APPs) under the Privacy Act 1988 (Cth).

Information We Collect

Information you provide directly

When you fill out a contact form, submit a project brief, or engage our services, we may collect:

  • Full name
  • Email address
  • Phone number
  • Company or organisation name
  • Government agency name (for CUAICTS2021 panel enquiries)
  • Project details and requirements you describe in your message

Information collected automatically

When you visit our website, we collect certain information automatically:

  • Analytics data: We use Google Analytics 4 (property ID 399277531) to understand how visitors use our site. GA4 collects anonymised usage data including pages visited, time on site, device type, and approximate geographic location. GA4 uses first-party cookies with a default retention period of 14 months.
  • Server logs: Our web server records your IP address, browser type, referring URL, and pages requested. Server logs are retained for 90 days for security and troubleshooting purposes.
  • IP geolocation: When you use our AI receptionist feature, we resolve your IP address to an approximate city-level location using the MaxMind GeoLite2 database. This is used solely to provide contextual information to our team during the conversation.

Cookies

Our website uses the following cookies:

  • Session cookie (laravel_session): Essential for form submissions (CSRF protection). Expires when you close your browser.
  • XSRF token (XSRF-TOKEN): Security token for form submissions. Expires after 2 hours.
  • Google Analytics (_ga, _ga_*): Used to distinguish users and sessions. Retained for up to 14 months.

You can control cookies through your browser settings. Disabling cookies will not prevent you from browsing the site, but contact form submissions require the session cookie.

How We Use Your Information

We use the information we collect to:

  • Prepare project proposals and scope documents
  • Deliver and manage contracted services
  • Send project-related communications (we do not send unsolicited marketing emails)

  • Service providers: We use third-party services to operate our business, including Google (Analytics), Bugsnag (error monitoring), and LiveKit (voice communication). These providers process data on our behalf under their own privacy policies.
  • Legal requirements: We may disclose information when required by law, regulation, or valid legal process.
  • Business transfers: In the event of a merger, acquisition, or sale of assets, personal information may be transferred as part of that transaction.

We do not transfer personal information outside Australia except where our service providers (Google, Bugsnag) process data in overseas data centres under Standard Contractual Clauses or equivalent safeguards.

Data Retention

  • Contact form submissions: Retained for 2 years from the date of submission, then permanently deleted.
  • Client project data: Retained for the duration of the engagement plus 7 years for tax and legal compliance.
  • Analytics data: Google Analytics data is retained for 14 months.
  • Server logs: Retained for 90 days.

Data Security

We implement appropriate technical and organisational measures to protect your personal information, including:

  • HTTPS encryption on all pages
  • Encrypted database storage
  • Access controls limited to authorised personnel
  • Regular security updates and patching
  • Honeypot-based spam protection (no CAPTCHAs or third-party tracking)

No method of electronic transmission or storage is 100% secure. If you become aware of a security incident involving your data, please contact us immediately.

Your Rights

Under the Australian Privacy Principles, you have the right to:

  • Access the personal information we hold about you
  • Correct inaccurate or out-of-date information
  • Request deletion of your personal information (subject to legal retention requirements)
  • Withdraw consent for any processing based on consent
  • Complain to the Office of the Australian Information Commissioner (OAIC) if you believe we have breached the APPs
